Save Time Getting Paid

Sometimes an invoice payment is delayed because a W-9 form may be required by the client.  Whenever working with new clients you can send a filled out W-9 form along with the invoice or you can check with their accounts payable if one is required. This can also reduce the hassle of last minute requests at the end of the year.

  1. Surely there is an online payment service that would make capturing W9s easier? Is there some requirement for a physically signed version?

  2. I’d done this numerous times and had to submit a W9 again to the accounting department because the client I was working with did not forward the form.

    Never hurts to ask if you can send the form directly to the accounting people in advance.

    W9s are simple forms to send out to clients and you can keep one on file that is ready to email as a PDF. The point of the topic is to send a W9 out right away with your invoice so there isn’t delay with payment. Many times it’s policy for a company to have the W9 on file before payment is made to the vendor.
